How to Create a Bill by the Hour Rate Plan

You must have Admin Level - SuperUser access to create a bill by the hour rate plan.

Bill by the Hour rate plans are a great solution if tuition is charged based on minutes vs. the number of classes taken.

Hourly rate plans complete all monthly calculations, so you do not have to add up minutes and apply a rate plan each month.

  1. From the left navigation menu, click Classes> Class Admin.

  2. Click the Settings tab.

  3. On the left-hand menu, click Rates.

  4. Click New Rate Plan.

  5. Fill out the Rate Plan Name.

    • ProTip: Be specific. Example: Hip Hop 20XX.

  6. Choose the Charge Category from the drop-down list.

  7. Select if this is Discountable.

    • If you select Yes, please note that you can only apply a Multi-Athlete Discount for Bill by the Hour Rate Plans.

  8. Choose when you would like to take the First Charge.

  9. Under Charges Created, select the date you want all future charges for registered members to be invoiced each month.

  10. For Payment Due By, the Due Date of each Rate Plan installment will be determined by the Billing Manager Due Plan setting. EXAMPLE: An installment charged on 06/01/2022 will be collected on 06/02/2022.

  11. Choose if Plan item installments should be prorated for members. If yes, also choose if you want to select Prorate on “No Class Day.”

  12. Click on the Rate Chart Tab.

  13. Click +Rate.

  14. Building out your rate chart: This is where you build out how much it is going to cost per minute.

    • Enter a rate for the first 30 minutes per week:

      • In the Hours field, enter "0".

      • In the Minutes field, enter "30".

      • In the Monthly Rate field, enter the weekly fee for up to 30 minutes.

      • Click Save.

  15. The Rate Chart should now show a fee for Up to 30 minutes and a fee for 31 minutes and up.

You can see the fee is the same for both Time Rates. This is because we haven’t added another Time Rate yet. Let’s do that now.

  1. Click the +Rate button again

  2. In the Hours field, enter "1".

  3. In the Minutes field, enter "0".

  4. In the Monthly Rate field, enter the fee for up to 60 minutes per week.

  5. Click Save.
