How to Build a Tryout/Assessment Registration

Double-check the Class Settings! Before building any class, ensure the Class Settings are filled out appropriately. This can be done by going from Classes > Class Admin > Settings.

Pro Tip: Programs and Sub-programs are a great way to sort different classes into groups. As a bonus, it helps parents find what they want when registering!

Pro Tip: To direct new membership, try including the word "Tryouts" in the Program/Sub-Program name.

Example:

  • Program: Tryouts

  • Sub-Program: All-Star Team Tryouts

  • Class Name: All-Start Team Tryouts

Adding a New Class

  1. In the left-hand navigation, click Classes > Class Admin.

  2. From the classes page, in the top right-hand corner, click the green +New Class button.

Click the General Tab to fill out basic information for your New Class

  1. In the Add Class window, fill out the required information.

    • The Class Title should match the sub-program name.

    • Options in drop-downs need to have been previously created within the Class Admin Settings tab before you can select them.

  2. Scroll down to select the agreements required for the tryout.

  3. When finished, click Save & Continue.

3. Click the Class/Date/Time tab:

  1. Fill out all of the required date and time information for the tryout.

    • Enter info carefully to be sure that the settings are correct.

  2. When finished, click Save & Continue.

4. Click the Reg Slot & Instructors tab:

  1. Click +New Reg Slot for each day and time a tryout session is offered.

  2. Set the Slot Limit to how many athletes can try out during that block of time.

  3. Fill out the days and times available for registration.

    • Each tryout time is a New Reg Slot line.

  4. When finished, click Save & Continue.

Make sure that Class Registration Notifications are enabled so that you or your instructors are ready for new registrants who have enrolled.

For tryout registrations, it is recommended to skip the Discounts tab.

5. Class Payment Plans:

  1. Click the green +New Payment Plan and name the plan accordingly (Example: 20XX Tryouts).

    • If your tryout is free DO NOT add a payment plan item after the plan is created and named.

  2. Choose the green +Payment Plan Item.

    • Fill out the "Charge Name", and choose whether the charge should recur or not.

      • If recurring, fill out the Charge Amount per athlete, the charge category, when the first charge should be, when each installment is due, and if the charge should be prorated or not.

      • If non-recurring, fill out the charge category, the charge amount, when the charge is created, and when the payment is due.

  3. When finished, click Save & Close.

Once tryouts are complete, admins have the option to assign member registrations to their team or have the members register for their assigned team.

6. How to Move Member Registrations:

  1. In the left-hand navigation, click Classes > Class Admin.

  2. Find the desired class and click the Gear icon > Registrations.

    • If the tryout dates have ended, check Past Classes.

  3. Select the desired class registration to move. In the Actions column, click Move Class.

  4. Complete the template with the required information, when complete click Save Registrations.

Allowing the user to register:

Allow the user to register for their assigned team by sending them a direct link.

  1. In the left-hand navigation, click Classes > Class Admin.

  2. Find the desired team, and click the Gear icon.

  3. In the bottom left of the window, click Go to Class Reg Inventory.

  4. This link goes to the correct page. Use the URL from this page to send to the desired user.
