Multi‑slot Bookings in Booking v2 allows admins to book multiple members into the same appointment slot, providing solutions for families with siblings or households with multiple children attending the same class.
Use the following steps to configure slot limits, manage availability, and book members efficiently.
Slot Availability
Each appointment slot displays a status based on confirmed registrations and active shopping‑cart reservations. Status type will read as Open or Reserved.
NOTE: Calendar views show only confirmed registrations.
Checkout Holds and Cart Reservations
NOTE: Cart reservations count toward capacity only while the reservation is active.
The system calculates confirmed registrations and active shopping‑cart reservations within the configured timeout window to help prevent double bookings. Cart reservations do not appear in the calendar count; only confirmed bookings do. This ensures accurate capacity handling during high‑traffic periods.
Canceling Bookings & Removing Appointment Slots
Canceling a member registration increases the available slot count instead of flipping the slot back to Open. This supports multi‑member logic and keeps availability consistent.
Admins may remove appointment slots only if no members are registered.
If any confirmed registration exists, the system prevents removal to avoid data conflicts.
Payments for Multi‑slot Bookings
Each member’s registration triggers its own payment plan, where all charges appear individually during checkout.
NOTE: There is no cost‑splitting across members.
Setting Slot Limits
Admins can define capacity for each appointment slot. To configure:
In the left navigation menu, click Bookings > Bookings Admin.
Locate the desired booking and click the gear icon.
Click the Date/Time tab.
Set a numeric slot limit (1–99) or allow unlimited bookings by selecting the checkbox.
Selecting Unlimited disables the numeric input.
Appointment Availability
Admins can control whether parents see availability during booking using a toggle. To adjust the toggle:
In the left navigation menu, click Bookings > Bookings Admin.
Locate the desired booking and click the gear icon.
In the General tab, switch Show available appointment spots to YES or NO.
When YES is selected, parents see the number of available appointment times.
Admins can remove open availability, but this only deletes unbooked slots. Slots with existing registrations cannot be removed.
Adding Members or Appointment Slots
Admins can add members to multiple appointment slots at once, even if slots are full, and add appointment slots for a member where multiple capacity rules apply.
Fully booked slots show as 0 left, but admins can still select them for overbooking. If overbooking occurs, a warning appears in the booking list under Warnings. The warning can be reviewed and overridden as needed.
